How VividFundy collects, uses, stores and protects your personal data when you browse, shop, subscribe or get in touch with us.

VividFundy Ltd ("VividFundy", "we", "us", "our") is based at 84 Finsbury Pavement, London, EC2A 1NE, United Kingdom. We operate the website vivid-fundy.com, a curated online bookshop specialising in financial literacy titles for young adults. This policy explains what personal data we collect from visitors, customers and newsletter subscribers, why we collect it, and the choices and rights you have over it.

We are committed to handling your data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If anything in this policy is unclear, please contact us using the details in Section 13 and we will be happy to explain further.

2. What data we collect

We collect different categories of personal data depending on how you interact with our site:

  • Account and order data: name, delivery and billing address, email address, telephone number, and order history, collected when you place an order or create an account.
  • Payment data: we do not store full card numbers ourselves. Card payments are processed by our payment partners; we retain only the last four digits and payment status needed for order records.
  • Consultation and contact form data: the name, email, phone number, preferred contact time and any details you choose to share about your financial situation when booking a free reading consultation via our Contact page.
  • Newsletter and lead-magnet data: your email address when you request our free 30-day budget checklist or subscribe to updates.
  • Technical and usage data: IP address, browser type, device information, pages visited, and referral source, collected automatically via cookies and similar technologies (see Section 5).
  • Reviews and correspondence: any reviews, testimonials or messages you voluntarily submit to us, including your first name and, where you choose to share it, your age range.

3. How we use your data

We use personal data to: process and deliver book orders; provide the free consultation and book-matching service; send the budget checklist and, where you have opted in, occasional newsletter content; respond to enquiries and customer service requests; improve our catalogue, filters and quiz based on aggregated usage patterns; detect and prevent fraud or misuse of the site; and comply with our legal and tax obligations as a UK retailer.

We rely on several legal bases depending on the activity: performance of a contract (processing an order you have placed), legitimate interests (improving our site, preventing fraud, understanding which books and articles are most useful), consent (marketing emails, non-essential cookies, the free checklist), and legal obligation (record-keeping for tax and consumer-rights purposes). Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

5. Cookies

Our site uses cookies and similar local-storage technologies to keep your cart contents, remember your cookie preferences, and — only if you agree — measure site usage and personalise offers. 6. Sharing your data

We share personal data only where necessary to run our business: delivery couriers (to fulfil orders), payment processors such as card networks and PayPal (to take payment securely), email and marketing platforms (to send the checklist or newsletter you requested), analytics providers (in anonymised or pseudonymised form, only with your consent), and professional advisers such as accountants or auditors where required. We do not sell your personal data to third parties for their own marketing purposes.

7. How long we keep your data

We keep order and invoice records for as long as required by UK tax law (currently six years), customer account data for as long as your account remains active plus a reasonable period afterwards, consultation enquiry data for up to 24 months to allow follow-up, and newsletter/checklist email addresses until you unsubscribe. Cookie preference records are kept locally in your browser and can be cleared at any time through your browser settings or our cookie settings panel.

8. Your rights

Under UK data protection law you have the right to: request access to the personal data we hold about you; request correction of inaccurate data; request erasure of your data in certain circumstances; request that we restrict or object to certain processing; request a portable copy of data you provided to us; and withdraw consent at any time where processing is based on consent. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe we have not handled your data appropriately.

9. International transfers

Some of our service providers (such as certain email, hosting or analytics platforms) may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as adequacy decisions or standard contractual clauses, to keep your data protected to a standard equivalent to UK law.

10. Children's privacy

VividFundy is intended for adults purchasing books for their own use. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us so we can remove it promptly.

11. Keeping your data secure

We use appropriate technical and organisational measures — including encrypted connections, access controls and regular review of our third-party providers — to protect your personal data against unauthorised access, loss or misuse.
